All our bookings are done through Hallmaster and by making a booking you are agreeing to abide by our Terms and Conditions as detailed below. Please make sure you have read them thoroughly.
Acceptance of bookings is at the absolute discretion of Hall Management.
Please allow enough time within your session for setting up and clearing away when planning your booking as there may be bookings before/after your session.
We are not able to set up rooms and move furniture. You are responsible for setting up the room to meet your needs and for replacing the furniture in its original place at the end of your booking.
Sale of Alcohol
Anyone wishing to sell alcohol at a function must obtain the relevant licence from the Test Valley Borough Council. The necessary forms can be downloaded from TVBC website. The Hall secretary must be informed when a licence has been applied for and has been obtained as only a limited number of licenses may be awarded by TVBC each year.
Payment
Invoices will be sent to the email address provided at the time of booking.
Please pay by bank transfer as detailed on the Invoice.
Bookings will be invoiced in the month following your bookings. All payments must be paid within 30 days of receipt of invoice.
If invoices are not paid within 30 days we reserve the right to cancel future bookings.
Cancellation policy
If you have to cancel your booking for any reason, please give as much notice as possible. Please cancel in writing via email. Late cancellation may incur charges.
We reserve the right to cancel your booking if necessary for operational reasons (e.g. building works). In the very unlikely event that this happens, we will give you as much notice as possible and try to offer you a suitable alternative booking. If you choose not to make an alternative booking, we will refund your hire charge and booking fee in full but will not be liable to make any other compensation.
